How to apply
- Step 1: Application Opening

- Access the Civic Events Funding information and begin organizing required materials.
- Step 2: Attend Information Session (Optional)
- Register for the English or French virtual information session on March 12, 2025, to learn more about the application process and ask questions.
- Step 3: Prepare Application Documents
- Gather details about your organization, including primary and secondary contacts and Board of Directors/Steering Committee.
- Prepare detailed information on the event, including scope, planned activities, objectives, and alignment with funding priorities.
- Develop a clear and reasonable budget and financial plan for the event.
- Step 4: Complete Application Form
- Fill out the online application form available on ottawa.ca.
- Ensure all required sections are completed and all supporting information and documents are provided or justified if missing.
- Step 5: Submit Application
- Submit your completed application online by the deadline (April 2, 2025, at 4 pm).
- Step 6: Await Results and Clarifications
- The Civic Events Allocation Committee may contact you to clarify aspects of your proposal during their assessment process.
- Check for notifications regarding the status of your application (results shared by April 30, 2025).
- Step 7: Respond to Contribution Offer
- If approved, review the contribution offer and draft agreement sent via email.
- Contact the City within five business days to accept the contribution and sign the contribution agreement.
- Step 8: Secure Insurance
- Obtain commercial general liability insurance coverage for the event, naming the City of Ottawa as additional insured, unless the event is at a City-owned facility covered by a rental contract.
- Provide proof of insurance or facility rental contract as required.
- Step 9: Receive Funding
- Once the contribution agreement is signed and insurance requirements are fulfilled, receive funds in a single payment from the City of Ottawa.
- Step 10: Event Implementation and Reporting
- Deliver the event as described in your funded proposal.
- After the event, submit a financial statement reflecting actual revenues and expenses along with a brief event description.
