Overview of the Private Archives Processing Support Program program
The Private Archives Processing Support Program offers funding of up to $20,000 to support non-profit and public organizations in Quebec in processing and digitizing private historical archives. Eligible activities include sorting, classifying, describing, indexing, physically processing, and digitizing private archive collections for treatment and preservation purposes.
Financing terms and conditions
- Grants range from a minimum of $5,000 to a maximum of $20,000 per project.
- Public organizations must cover at least 50% of the total project costs through their own contribution, either in cash or in kind.
- Only one application per organization is permitted for this program period.

- Digitizing private archival collections for preservation and processing purposes.
Eligibility criteria of the Private Archives Processing Support Program program
- The applicant must be a non-profit organization incorporated under Quebec or Canadian law, a municipality, or another public organization with its head office in Quebec.
- The project must involve the processing of private archival collections (sorting, classifying, describing, indexing, and physical handling) or the digitization of private archival collections for processing and preservation purposes.

- Non-profit organizations incorporated under Quebec or Canadian laws
- Municipalities with their head office in Quebec
- Other public organizations with their head office in Quebec
Who is not eligible
- Projects involving public archives or public sector organizations (such as government ministries, the National Assembly of Quebec, and judicial courts).
- Organizations or projects involving active and semi-active documents.
- Projects concerning archives stored outside Quebec.
- Businesses or organizations looking to fund the acquisition, installation, or maintenance of equipment or furniture (e.g., IT equipment, shelves, freezers, filing cabinets).
- Projects aiming solely at digitization for dissemination or projects related to documents subject to legal deposit.
Eligible expenses
- Costs related to the sorting, classification, description, and physical handling of private historical archives.
- Expenses for the digitization of private archival collections for the purpose of processing and conservation.
Eligible geographic areas
- Organizations headquartered in Quebec.
Eligibility criteria of the Private Archives Processing Support Program program
- Clarity of general and specific objectives of the project, with a well-described collection or fonds.
- Expected benefits for the community, including the importance of processing the fonds and the accessibility provided by the project.
- Coherence of the project with a realistic schedule and budget based on planned activities and available resources.
- Quality of presentation, including a clearly defined sequence of activities and appropriate archival terminology.

- Do not include any annexes with your application
- Verify that your submission has been received

- Wait for confirmation or follow-up from BAnQ regarding your application status
Additional information
- If the applicant is not the owner of the documents, written authorization from the owner is required to ensure researcher access.
- A single application is permitted per organization for this program cycle.
- Failure to submit required documents may lead to ineligibility for future applications until compliance is met.
- Use of annexes in the grant application is not permitted; all information must be included in the provided form.
