• Completed support application form
• List of board or committee members
• Copy of municipal facility rental contract, if applicable
• Previous year’s financial statements for requests over $1,000
• Board resolution supporting the application, if applicable

Who is eligible?

• Recognized non-profit organizations
• Associations, clubs, committees, and groups recognized by the Town
• Community organizations offering social, cultural, recreational, sports, or community services
• New organizations seeking start-up support
• Organizations planning special events or community projects in Hawkesbury

Who is not eligible

• Businesses and industries
• Political associations or activities
• Religious groups whose sole mission is religious promotion or services
• Individuals

Eligible expenses

• Administrative support, including insurance and promotional support
• Financial support for start-up costs, operating needs, or special events
• Physical support such as facility use, storage space, or equipment loans

Ineligible Costs and Activities

• Payment of an employee of the organization using Town financial support
• Projects cancelled after funding is received, unless the amount is reimbursed within 30 days
• Requests from businesses, industries, political groups, religious groups with a sole religious mission, and individuals

• Originality and value of the project
• Community involvement and partnerships
• Economic and social benefits
• Financial viability and ability to complete the project

• Step 1: Complete the application form
  • Fill in the support request form with current organization information.
  • Make sure your Town recognition file is up to date.
• Step 2: Submit the request
  • Send the completed form to the Recreation and Tourism Department.
  • Submit within the Town’s annual request period.
• Step 3: Town review and evaluation
  • The Town reviews the request and may ask for more information.
  • The Selection Committee evaluates the application and forwards recommendations to Council.
• Step 4: Decision and agreement
  • If approved, a letter of agreement is prepared and signed.
  • If refused, the Town sends a notice explaining the decision.
• Step 5: Post-project follow-up
  • Submit the post-activity report and results evaluation after the project.
  • Provide a contingency plan if project changes are needed.

• The Town reviews applications and may request additional information.
• Applications are evaluated by the Selection Committee, the Recreation Department representative, and the Treasurer.
• Eligible requests are presented to Town Council for a decision.
• If approved, a letter of agreement is signed before the project begins.
• If changes are needed, a contingency plan must be approved before continuing.

• The Town can provide a letter of agreement if the request is approved.
• Support is subject to the annual budget and available funds.
• Applicants may be asked for extra supporting documents after review.
• A post-activity report and results evaluation must be submitted after the event or project.
