Overview
Ontario Arts Council’s Artists in Communities and Schools Projects funds the research, development, and realization of community-engaged arts projects in Ontario, providing up to **$20,000** (Two-year project category) plus up to **$3,000** in additional mentorship funding in any category. Eligible activities include collaborative creation with community participants, professional artists’ fees, support specialist fees, participant honoraria, materials, travel, venue rental, outreach and promotion, childcare to enable participation, and accessibility expenses for Deaf or disabled participants (other than the applicant).
Activities funded
- Planning (co-planning and co-designing) a community-engaged arts project in Ontario with professional Ontario artists and community members.
- Delivering a community-engaged arts project in Ontario that is collaboratively designed and created with community participants (including in community and school contexts).
- Implementing a two-year community-engaged arts project in Ontario (for eligible collectives and organizations with the required prior OAC project-grant history).
- Adding a mentorship component to a planning, project, or two-year project to mentor professional artists from OAC priority groups in project planning and/or facilitating community-engaged arts projects.
Eligibility
- The applicant must be based in Ontario (e.g., an Ontario-based not-for-profit arts or non-arts organization, or an ad hoc group/collective with at least 50% of members residing in Ontario).
- The project must be a community-engaged arts project in Ontario, involving professional Ontario artists and community members working together to design, develop and realize a collective creative experience.
- Non-arts organizations, schools run by First Nations or Indigenous education authorities, and school boards must have a confirmed arts partner (e.g., a professional artist, arts collective/ad hoc arts group, or arts organization).
- If applying as a school board, it must not be partnered in OAC’s Artists in Residence (Education) program, and the request is limited to artist fees and travel expenses.
- For the Two-year project category, the applicant must be a community-engaged arts collective or organization that has received two or more OAC project grants through community-engaged arts or arts education grant programs within the last five years, and the activities must take place over two years.

- Municipalities.
- Colleges and universities.
- Amateur arts organizations (e.g., community theatre companies).
- Artists who are employed by a school involved (full- or part-time) during the course of the project.
- School boards partnered with the Ontario Arts Council in the Artists in Residence (Education) program.
Eligible expenses
- Professional artists’ fees.
- Support specialist fees (e.g., translators, Elders, therapists).
- Honoraria for project participants.
- Snacks and beverages for participants.
- Travel expenses.
- Venue or studio rental.
- Purchase of small-scale equipment, software, electronics and similar materials required to carry out the project.
- Materials costs.
- Administrative costs associated with the applicant artist or arts ad hoc group, collective or organization.
- Marketing, outreach and promotion expenses.
- Childcare and other dependant care fees enabling individuals to take part in the project (not regular, ongoing expenses).
- Accessibility expenses to support audience members and project participants (other than the applicant) who are Deaf or have a disability.
- Mentorship costs (up to $3,000 in additional funds in any category, to cover costs involved in mentoring professional artists from OAC priority groups).

Confirm eligibility and partners
- Confirm you are an eligible applicant (e.g., Ontario professional artist, ad hoc group/collective, Ontario-based not-for-profit organization, eligible school board or First Nations/Indigenous school)
- If you are a non-arts organization, First Nations/Indigenous school, or school board, confirm you have an arts partner

Choose category and mentorship
- Select the appropriate category: Planning, Project, or Two-year project
- If applying for mentorship funds, confirm mentor/mentee eligibility and include both names, artistic examples and CVs

Set up Nova profile
- Create or update your profile in Nova (OAC’s online granting system)
- If applicable, ensure any required co-applicant(s) can be added in Nova

Prepare budget and timeline
- Prepare a project budget
- Plan the activity dates so it does not start before the deadline and does not finish before grant results are received

Compile artistic examples
- Gather required artistic examples (documentation of your artistic and community work)
- If you do not have documentation of your community work, obtain two letters of reference

Secure partner letters
- Obtain signed letter(s) of confirmation from partners outlining their commitment and contributions
- If applying to the Planning category in early stages, obtain letter(s) of intent from potential partner(s)

Complete the application in Nova
- When the form becomes available in Nova (about two months before the deadline), complete the application form
- Answer the program’s application questions and attach your budget and support documents (e.g., résumés/bios for artists and support specialists)

Submit and wait for results
- Submit your application in Nova by the deadline (1 p.m. ET)
- Wait for results (about four and a half months after each deadline)
Additional information
- The application form is available in Nova about two months before each deadline.
- Grant decisions are communicated about four and a half months after each deadline.
- The funded activity cannot finish before you receive your grant results, and must be completed no more than two years after you receive the grant results.
- If the project has a public launch, it must not be scheduled to open to the public before you receive your grant results.
